How South Australia manages data for Children in Care

Overview

The Department of Child Protection ('DCP') works to keep South Australia's children safe by protecting them from abuse and harm. The key to this is collecting data from children themselves on topics such as how they feel about decisions in their life, who is important to them, how safe they feel, what activities they enjoy, how they learn, how they live and much more.

One of the key challenges faced by the Department was having a data collection and management system centred around clients and respondents which is what the AtlasOne platform offers.  

Challenges Faced

  • Configuration and Devices: Needed a highly configurable survey system that worked seamlessly across all mobile devices and computers
  • Reviews: Case workers needed to review and comment, flag survey responses and take further action
  • Create and Edit: Administrators needed to created and edit surveys, view reports and metrics of the results
  • Data integrations: Connecting into a government corporate system
  • Solutions Implemented

  • DCP addressed these challenges by deploying the AtlasOne system.
  • Single source of truth: Data is collected from surveys and stored under a single client profile for the Young Person.
  • Co-led surveys: The ability for multiple types of users to access and answer survey questions from the case workers to the children. A co-led survey is common in answering questions on an iPad.
  • Survey versioning: Each time a new version of the survey is created, new changes do not affect the historical data integrity of previous versions.
  • Child surveys: Child respondents can optionally complete further surveys once the central one has been answered.
  • Ad-hoc query tool: Survey data can be filtered and viewed, exported via multiple document formats.
  • Security with roles and permissions: Users login via Azure Active Directory (now Microsoft Entra) authentication and only view information based on their roles and permissions.
  • Key Metrics

  • Approximately 4,100 children and young people in care within the system
  • Survey participation has increased to approximately 30%
